Project Management Digital Project Coordinator at Urban Insight

Coordinates support client workflows, prioritizes tickets, translates client requests into developer instructions, and manages site maintenance and updates.

Junior Remote Posted 37 minutes ago RemoteFirstJobs Product
What this role involves

Who We Are

Urban Insight is a leading digital agency creating innovative websites and web applications for organizations that make a difference. We specialize in solving complex problems through website and web app strategy, design, and development using open-source content management systems (primarily Drupal and WordPress, and headless architectures). Our clients include some of the most well-known museums, nonprofits, universities, and cultural institutions. Urban Insight has been in business for nearly 25 years and continues to expand each year. We thrive on having a professionally rewarding environment where team members are encouraged to grow, collaborate and focus on meaningful work.

The Opportunity

We are seeking an organized, sharp, and motivated Digital Project Coordinator to own the management of our Support clients. This role sits at the intersection of project management, task prioritization, and technical support delivery. The right candidate manages support workflows with confidence, translates client requests and goals into clear developer instructions, maintains site security and updates, and thrives on delivering steady enhancement solutions.

At Urban Insight, strong project management means you’ll regularly operate across a range of support and maintenance functions. On any given week you may be running QA on small updates, configuring analytics, writing brief requirements, prioritizing tickets, or coordinating with developers. If you thrive on variety, steady pacing, and helping clients maintain their long-term digital investments, you’ll fit right in. If you want a role where your ownership is real and your impact is visible, this is it.

Qualifications

  • Minimum of one year of project management or project coordination experience, preferably at a digital agency in web design and development.
  • Demonstrated ability to coordinate and prioritize support requests.
  • Proficiency with Drupal and/or WordPress, including content entry, basic configuration, and troubleshooting minor site issues.
  • Strong client communication and presentation skills.
  • Ability to produce concise, clear, professional memos, documentation, and ticket requirements.
  • Active use of AI tools in your current workflow to improve project delivery efficiency.
  • Bachelor’s degree in a related field or equivalent experience.
  • Previous success working remotely.
  • Solid understanding of Agile or ticket management practices (Scrum and Kanban processes) is a plus.

Responsibilities

  • Service Desk & Support Delivery - Own day-to-day coordination, prioritization, and management of work for Support clients and the Service Desk. Keep client websites secure and up-to-date, address enhancement requests, and guide clients through documented planning, quality assurance, and launch processes for updates.
  • Client Relationship Management - Serve as a dependable client contact for Support accounts. Proactively communicate ticket status, guide clients through request scoping, and present progress or requirements confidently in check-in meetings.
  • Project Management & Execution Support - Shadow Senior Project Managers on large-scale, complex client engagements to learn agency delivery methodologies and project lifecycles, while actively supporting day-to-day execution, including shepherding development tickets, meeting scheduling and summaries, performing QA testing, and managing content entry.
  • Process & Delivery Excellence - Manage support schedules, project budgets, and ticket scopes proactively. Participate in internal team and client meetings, evaluate minor technology frameworks or enhancements, and maintain high organization standards for ticket tracking.
  • Tool & AI Exploration - Learn and utilize internal PM tools, ticketing systems, and emerging AI tools to improve personal task efficiency and share helpful insights with the project management team.

Success Metrics

In your first 3 months

  • Build full proficiency with Urban Insight’s PM toolset, support workflows, and service desk processes.
  • Take ownership of the active support client queue and establish yourself as a dependable point of contact for client requests.
  • Collaborate with developers to systematically resolve at least one bottleneck in the current service desk queue.
  • Audit the current support tracking process and propose one minor improvement to PM leadership.

By the end of your first year

  • Maintain a high level of support client satisfaction, delivering minor website enhancements on time and within budget parameters.
  • Master the ticketing and deployment verification process, ensuring zero post-deployment defects on verified support updates.
  • Manage and prioritize the service desk workload independently with minimal escalation required for routine tickets.
  • Contribute to updating documentation standards for recurring client maintenance tasks.

Operations Development Operations Coordinator at Equitable Hiring Group

Manages fundraising data systems, donor databases, gift processing, and operational workflows to support nonprofit development efforts.

Junior Posted about 14 hours ago RemoteFirstJobs Product
What this role involves

About the Institute for Nonprofit Practice

The Institute for Nonprofit Practice (INP) works to ensure that the nation’s nonprofit, public sector, and social impact leaders have the skills, knowledge, networks, and confidence to boldly advance their organizations and missions and build a more equitable future for all.

INP serves social impact leaders who are driving solutions to some of the most pressing issues of our time. Nonprofits constitute the third-largest sector of the U.S. workforce – nearly 1 in 10 workers – yet the sector continues to face a chronic deficit of investment in the people who power it. The types of peer-to-peer learning and exchanges that INP offers are needed more than ever as the sector wrestles with a set of challenges that have mounted over the past few years – including workforce shortages, high burnout and turnover rates, and a rising demand for services – that can significantly undermine organizational effectiveness. With an 18-year track record of delivering programs that measurably increase leaders’ key leadership skills, confidence, and networks, INP is committed to meeting this moment by continuing to empower social impact leaders to adapt and thrive amidst these obstacles.

About the role - Development Operations Coordinator

The Development Operations Coordinator plays an essential role in building and maintaining the infrastructure that powers the Institute for Nonprofit Practice’s (INP) fundraising efforts. Working collaboratively with the entire development team, this role ensures INP’s data, systems, and processes are seamless, accurate, and scalable to equip social sector leaders nationwide. You will play a critical, hands-on role in managing the backend operational lifecycle of all giving streams—including individuals, corporations, and foundations—ensuring data integrity and smooth administrative workflows.

To thrive in this role, you must be exceptionally detail-oriented, systems-minded, and driven by curiosity. You are someone who loves finding order in data, optimizing workflows, and ensuring nothing falls through the cracks. While your work is primarily behind the scenes—managing Salesforce databases, processing gifts, generating reports, and tracking pledge pipelines—you understand that strong development operations are the foundation of meaningful donor stewardship and organizational growth.

Your responsibilities will include:

  • Gift & Pipeline Operations
    • Manage donor meeting logistics: Own the administrative execution of donor meetings, including scheduling coordination, confirmation management, and tracking post-meeting action items within Salesforce.
    • Administer gifts and pledges: Execute the backend tracking of all donations, ensuring pledges are accurately recorded, tracking pipelines, and ensuring internal records match financial inputs.
    • Coordinate the proposal calendar: Own and maintain the master proposal calendar to track upcoming grant deadlines, submission requirements, and compliance milestones for all institutional funders.
    • Support proposals and reporting: Gather, organize, and maintain the necessary organizational data, financial documents, and supporting evidence required for the assembly of funder proposals and reports.
  • Database & Systems Management
    • Maintain Salesforce database: Serve as the team lead on database cleanliness, accurately logging all development activities, touchpoints, and donor records to ensure data integrity and support long-term retention.
    • Manage data tracking & reporting: Pull and analyze data from Salesforce and internal platforms to generate regular progress reports, track fundraising metrics, and inform team strategy.
    • Track team action items: Attend development strategy meetings as the primary note-taker to log, track, and prioritize operational next steps for the team.
  • Campaign & Infrastructure Support
    • Support multi-channel appeals: Oversee the backend operations of print and digital appeals, ensuring donor segments and mailing lists from Salesforce are accurately pulled and synced with platforms like MailChimp or Eventbrite.
    • Manage event operations: Handle the data and technical logistics of special events, including managing RSVP tracking, processing ticket sales, and ensuring accurate post-event data entry.

Who you are

  • Detail-Oriented: Accuracy and precision in data handling are your top priorities, ensuring reliable donor information and compliance.
  • Resourceful and Adaptable: You’re at ease with ambiguity and rapid change. You possess a positive attitude and identify creative solutions to obstacles. You can juggle many important responsibilities at once, and you’re rigorous about prioritizing.
  • A Humble Teammate: Nothing is beneath or above you. You are quick to always lend a hand or two! You are able to earn influence without authority and naturally seek to support small projects or large strategic goals.
  • Mission-Oriented: You have an authentic passion for INP’s mission and a desire to foster practices incorporating diversity, equity, inclusion, and belonging.
  • An Abundant Thinker: You believe that we are living in a world of abundant resources and that the right team of partners can make incredible things happen. You bring relentless curiosity and creativity to every task, project, and engagement.

What You’ll Need

  • 2–3 years of relevant work experience.
  • Strong professional writing and proofreading skills, with the ability to draft clear, error-free correspondence, agendas, and donor materials.
  • Impeccable organization; you are highly detail-oriented, and someone who gets a real sense of satisfaction from producing polished work and managing smooth and orderly processes.

Why this role is compelling

A successful candidate will develop and grow a broad set of professional skills, honing them to the level of excellence in a demanding and fast-paced environment. You will work with, learn from, and grow alongside a high-performing and diverse team in which everyone is committed to the development of themselves and others.

This role is intended to serve as a professional development path for you. There is potential for the role to evolve within two to three years based on the particular strengths that you bring to the team, making this an invaluable opportunity to expand your nonprofit career.

Patient Technology Technician

Department: Patient Technology Support

Reports To: Patient Tech Manager / Patient Tech Team Lead

Location: Philippines  (Remote)

About the Role

PEAKE Technology Partners is seeking a compassionate, service-driven Patient Technology Technician to serve as the primary point of contact for patients navigating their healthcare portal. In this role, you will deliver timely, high-quality support to patients experiencing issues with portal access, account registration, password resets, and patient information management within a structured, SLA-driven support environment.

Our patient population skews heavily elderly, and many callers require step-by-step guidance through technical processes. Success in this role demands patience, empathy, clear communication, and a genuine desire to help. You will handle inbound contacts across phone and email channels, manage tickets through ConnectWise, and ensure every patient interaction reflects the highest standard of service PEAKE delivers.

This is the right role for someone who thrives under volume pressure, maintains a calm and professional presence, and takes pride in delivering a consistent, high-quality experience on every interaction.

The Definition of an “A” Player

A-Players are PEAKE’s star performers, and they exemplify PEAKE’s core values of Competence, Persistence, and Supportiveness. The work of an A-Player is always thorough and thoughtful, proving their competence in the role they hold on the team. They are punctual, professional, and maintain a positive attitude while constantly seeking to improve.

An A-Player demonstrates passion for their work and embraces opportunities to learn and grow. When faced with challenges, they remain persistent in pursuing effective solutions. Supportiveness is essential — A-Players actively build strong relationships with both patients and coworkers. By demonstrating these values, A-Players become leaders and influencers at PEAKE and are invaluable to our success.

What You’ll Do

Patient Support & Portal Troubleshooting

  • Serve as the primary point of contact for patients contacting support via phone and email regarding patient portal access, account issues, and related concerns.
  • Assist patients with portal registration, login troubleshooting, password resets, and account recovery in a clear, patient, and step-by-step manner — with sensitivity to elderly callers requiring additional guidance.
  • Adapt troubleshooting approaches for callers contacting from the device they are attempting to access and request alternate callback numbers when needed to improve resolution efficiency.
  • Guide patients through portal navigation, helping them locate and use features relevant to their care including messaging, appointment access, and health record review.
  • Assist with patient updates, handling all data in strict accordance with HIPAA and data privacy standards.
  • Proactively provide suggested solutions and next-step guidance — rather than waiting for the patient to ask — to reduce handle time and improve the overall experience.

Ticket Management & Documentation

  • Log, manage, and resolve patient support tickets accurately and in a timely manner using ConnectWise as the primary ticketing platform.
  • Document all interaction details, troubleshooting steps, and resolutions within each ticket, maintaining clear, audit-ready records for every contact.
  • Maintain concurrent notetaking during calls to eliminate after-call wrap time and improve throughput efficiency.
  • Identify and flag tickets at risk of SLA breach and escalate appropriately to maintain service quality and contractual compliance.
  • Adhere to defined SLA response and resolution targets based on ticket priority (P1–P4).
  • Contribute to internal knowledge base articles and standard operating procedures (SOPs) to support team consistency and onboarding.

Quality Assurance & Compliance

  • Adhere to all QA standards as defined by the PatientTech QA program, ensuring call handling, documentation, and patient interaction quality remain consistently high.
  • Participate in QA review sessions, accept feedback constructively, and apply coaching to continuously improve individual performance.
  • Comply with all HIPAA requirements, company policies, and security standards governing the handling of patient information.
  • Support CSAT processes by maintaining a professional, solution-focused approach in every interaction.

Communication & Collaboration

  • Communicate clearly and professionally with patients across all support channels, adapting tone and language to the patient’s level of technical familiarity.
  • Collaborate with fellow Patient Technicians, the QA team, and Team Leads to ensure seamless escalation management and efficient issue resolution.
  • Participate in team huddles, shift handoff processes, and documentation updates to ensure continuity of service across all coverage hours.
  • Escalate unresolved or complex issues to the appropriate team or Team Lead with full context and documentation to avoid patient re-explanation.

Continuous Improvement

  • Participate in after-action reviews and ongoing process improvement initiatives to reduce repeat contacts and improve first-contact resolution rates.
  • Stay current with portal updates, system changes, and new procedures that may affect patient-facing workflows.
  • Proactively identify recurring patient pain points and share observations with the Team Lead or QA team to inform training and process updates.

What Makes Someone Successful at PEAKE

At PEAKE, success is defined by both performance and alignment to our core values:

  • Competence — You take ownership of your work, continuously improve your skills, and deliver high-quality outcomes on every interaction.

  • Comfortable navigating web-based portals, patient management systems, and standard productivity applications.
  • Excellent verbal and written communication skills with the ability to explain technical processes clearly to non-technical patients, including elderly callers.
  • Strong listening skills, patience, and empathy — particularly when supporting callers who are frustrated, confused, or less technically confident.
  • Ability to multitask effectively: managing active calls, documentation, and ticket updates simultaneously.
  • Strong attention to detail with the ability to maintain accurate records under volume pressure.
  • Familiarity with HIPAA requirements and the importance of patient data privacy and confidentiality.
  • Demonstrated sense of ownership, accountability, and follow-through in resolving patient issues.
  • Positive, team-oriented attitude with a commitment to continuous improvement and professional growth.
